
Who May Borrow?
Harvard University students, faculty and staff with a valid HU I.D.Loeb Library Special Borrowers with valid I.D.
Harvard College Special Borrowers in Specific Categories (see below)
A valid Harvard ID or Special Borrower card must be presented when borrowing books.
Loan Periods
Most monographs may be checked out for 28 days for most students and Special Borrowers, or until end of term for Faculty, Staff, and some graduate students.Periodicals and some other materials circulate for one-day.
Items on course reserve circulate for 3 hours or overnight (if checked out less than three hours before closing of the library).
Items in the CORE collection, Folios, Vertical Files, items in fragile condition, items in Special Collections and many items in Visual Resources do not circulate.
Loan periods are noted in the "Availability" information in HOLLIS.
Renewal
Materials may be renewed if they have not been recalled by another borrower or for reserve. Items can be renewed in person, or by using your PIN number and selecting "My Account" in the HOLLIS Catalog. Materials may be renewed on-line a maximum of five times. Reserve items can not be renewed on-line. Renewals cannot be made over the telephone.Availability
Circulation information (if an item is checked out or on Reserve, loan periods and due dates) can be accessed in HOLLIS. It is very useful to check this before looking for items in the stacks. A complete list of our periodical holdings and their availability may also be accessed in HOLLIS.Fines
Borrowers should return or renew books promptly if they wish to avoid fines and billing charges. Failure to pay fines promptly, within 30 days, may lead to the suspension of borrowing privileges. Library fines are assessed for overdue materials as follows:| Overdue Reserve Items: | |

| Replacement Charges | |
| Failure to return materials will result in replacement charges, in addition to fines, for each unreturned item. The minimum replacement charge is $75. Patrons with outstanding replacement charges are also subject to revocation of privileges, which would extend to all Harvard libraries. If a replacement charge is levied on an item, that item cannot be renewed, and must first be returned to the library. When an item is returned, the replacement charge will be eliminated, but all overdue fines must still be paid. | |
Recalls
Items that are checked out may be requested on-line using the HOLLIS catalog (a Harvard I.D. and PIN number are required). The borrower is notified and given 5 days to return the book. Once the item is returned it is held at the Circulation desk, and a notification e-mail or letter is sent. Additional fines accrue if items are not returned before the recall due date.Most regularly circulating books may be recalled by another borrower or to be placed on Reserve. Items on Reserve may not be recalled.
Reserve Materials
Items on Reserve for GSD courses are kept behind the Circulation Desk.Reserve materials circulate for three hours during the day. A valid Harvard ID or Special Borrower card must be presented to use Reserves. All reserve items may be checked out of the library. Items may be borrowed for overnight use three hours before the library closes and are due when the library opens the following morning. Visitors to the library do not have access to materials on reserve.
Availability of items on Reserve can be checked on-line using GSD iCommons website (Access may be restricted to students in the course). All items requested for course Reserve including materials provided by the instructor, and resources available on-line are included in the iSites list for each course. Availability of Library owned books on Reserve may also be checked in HOLLIS.
Course reserve lists are also kept in binders on the Circulation Desk. These are useful in quickly locating materials on reserve. An alphabetical list is also available at the Circulation Desk.

The Library Reserve Instructions FAQ describes the library policies and procedures for placing items on reserve. Faculty may request that materials be placed on reserve for courses by sending a syllabus or reserve list directly to bangilly@gsd.harvard.edu or FAX: 617-496-5929.
Faculty may also request that required readings for their course(s)
be put on reserve by using the Reserves Tool on the GSD Course

Special Borrowers
Special Borrowers cards from the College Library are honored for the following categories:Faculty research assistant (proxy) cards.
Special Borrowers card issued under the MIT Reciprocal Borrowers Agreement.
Special Borrowers cards issued to Student, Faculty or Staff spouses (upon application at the Circulation Desk).
To apply for one of these Special Borrowers cards go to the Library Privileges Office at Widener Library. Faculty Research assistants should bring an Application for Research Assistant Library Borrower's Card signed by your faculty sponsor. MIT Reciprocal Borrowers should bring a form signed by an MIT Librarian and available at any MIT Library Reference Desk.
All other Special Borrowers cards issued by other Harvard Libraries or other University I.D.'s are not valid for borrowing, although these are valid for stack access.
Individuals may purchase borrowing privileges for the Loeb Library for a fee of $250 per year, or $100 for four months. GSD alumni may obtain privileges for half price ($125 per year or $50 for four months). Renewal of privileges is only available on a per year basis only. A "Frances Loeb Library Special Borrower" picture I.D. is issued. This card is nontransferable and valid only at the Frances Loeb Library in the Graduate School of Design.
Special borrowers do not have access outside the library to licensed electronic resources.
Reshelving Area
Recently returned books are rough sorted in the Reshelving Area on the lower level in range 53 prior to shelving. Books that cannot be found on the shelves and are not recorded on the HOLLIS Catalog as charged out or on reserve are likely to be here awaiting reshelving.Hold Shelves
Loeb Design Library books may be left for up to five days on "Hold" shelves (in the Reference Area upstairs near the Copy Room) without being charged out. You may pick up a hold slip at the Circulation Desk to record your name and the date. Books left in any other part of the library or left on the Hold Shelves without a name and date are reshelved daily.
