All GSD students, staff, faculty and visitors are required to follow the Harvard Enterprise Security Policy, as found at http://security.harvard.edu . The policy requires that a secure file transfer service be used to transmit confidential information. Two options to securely send messages and files are the Outlook Encrypt feature and the Accellion Kiteworks service.
Both services are approved methods of sharing information rated as Level 4 by the University's Privacy and Security team.

Sending Encrypted Emails and Attachments in Outlook

The easiest, and preferred, method of sending sensitive emails and attachments is to use the service integrated with Outlook called Microsoft Purview.  The option to Encrypt a message can be found in the Options menu when you compose a new email in Outlook. Attachements up to 150MB can be sent via the service. More information on how to use the service can be found on HUIT’s Knowledge Base article.

Sending Large Files using Kiteworks Secure File Transfer

Sending encrypted information using the Outlook encrypt feature is the preferred method.  However, if you need to send a file larger than 150MB, the Kiteworks service can be used to securely send files up to 50 GB with high-risk, confidential data (Level 4), to internal or external recipients. Kiteworks Secure File Transfer is available to faculty, staff, and researchers.

More information on how to use the service can be found in HUIT’s Knowledge Base article.
